Welcome to the May newsletter from the Sandy Lane POA

Welcome to the May 2023 newsletter which provides an update regarding the Sandy Lane Estate Beach Club (SLPOA INC.) and Estate (West Coast Limited).

Whilst it was widely felt that the clubhouse and beach were at times, too crowded over Christmas and New Year the club has never looked so good and is ever more popular with members, their guests and renters.

Around the estate, improvements have already been made with new road name signs. Some further traffic calming has, at long last, been achieved on Molyneux Road and, at the request of local residents, bollards and chains have been installed on Salters and Mahogany Roads in an attempt to deter taxi traffic.

The board of directors is currently evaluating tenders for the repair of all potholes, broken kerb stones and the trimming of overhanging trees etc.

AGM

a. Please see draft minutes here.

b. An EGM may be necessary in the coming months in order to update the ByLaws to help ensure that information sent out prior to the AGM is circulated early enough so all members have enough time to read and review all matters.

b. Format for future AGMs:

It has been agreed that all AGMs going forward (unless affected by a pandemic) will be a hybrid of zoom and in person participants. For the hybrid approach to work any member who can’t participate in person and wish to give their proxy to someone else must ensure that the person they are going to give their proxy to is participating in person. It will not be possible for zoom participants to have multiple proxies during a hybrid meeting.

c. Management of SLPOA Inc.

As discussed at the AGM a procurement process has commenced regarding the outsourcing of the management of SLPOA Inc. where the board will present their recommendations to the members at the next SLPOA Inc. AGM.

Club

a. Staff

Sadly Petagay has resigned, however with Tyrone’s assistance a replacement bar lady has been identified who has 7 years experience working at The Crane Resort her name is Shanice Gilkes. She is a trained mixologist and is experienced in working with tourists and at a busy bar. We would like to thank Petagay for all her hard work, help and assistance especially as she has been with us since inception June 2019.

c. Wine list

I’m delighted to announce that we have added 2 new rose wines to the daily offering which are Whispering Angel and The Pale Rose.

d. Spirits

We have now added Famous Grouse Whisky to our regular offerings.

e. Evening events

There has been several small member evening events including BBQs at the club which have been a great success and we will continue to offer and assist with these member gatherings going forward. Items available to members include bbq, bbq gas, crockery, cutlery, paper napkins and the bar can remain open and staff can also be made available. Please note that any member or member sponsored event which requires exclusive use of the clubhouse and or beach will carry a SLPOA Inc. event fee of BDS$1,000 plus vat.

d. New Years Eve

We are delighted to announce that we will be preparing for New Year’s Eve early this year in the hope that we can attract as many members as possible to attend the evening’s festivities. The per head will be discounted for members to BDD$395 to include house wines with dinner. Children of 12 years and under will be BDD$150 per head including soft drinks with dinner. We will also be putting on entertainment for the evening so please contact concierge@sandylanepoa.com to reserve your table.

There will also be an exclusive members only event held at the clubhouse prior to the February AGMs.

Financial Matters

a. Short term rental fees

42 villa owners have paid the short term rental fee and 141 membership fees were also paid. Registrations and reception checks-ins from villas who rent who have not paid a short term rental fee will continue to be monitored by concierge.

b. VAT refund

We were fortunate to receive a VAT refund from the BRA at BDS$19,996.00

Maintenance

In order to keep the club looking as clean and presentable as possible regular cleaning and maintenance is required.

Coral tables and large umbrellas

The coral tables have been made safe and have also been sealed. The coral tables will need to be resealed every 6 months. The staff have also been instructed to wind down the umbrellas at night. The tables will also be sanded further so the tops are smooth and will again need to be resealed.

Sunbeds and cushions

The sunbeds are being cleaned by Nash and the beach team. Also clubhouse and sunbeds cushions are being steam cleaned as necessary. Any sunbeds or sunbed cushions are being repaired as required.

We have also ordered more waterproof protective covers to go over the additional sunbed cushions.

Casa Caoba cabana

Sink has been installed at the owner’s cost.

Grendon House Cabana

Repairs to roof and access to solar panel etc. has been completed.

Gardens

Junior has installed additional plants and added top soil where necessary.

Irrigation

Calsius has serviced and repaired / replaced items in the irrigation system.

Plumbing

Septic services have visited the club to check on the bar and kitchen grease traps as well as the sewage system.

Mosquito prevention

As well as the regular Thursday fogging Mosquito Kong continues to conduct a separate Mosquito control service for SLPOA Inc at the Club, most recent treatments were performed 22nd March,12th April and 24th May 2023 at 6:30am.

General maintenance / cleaning

General maintenance and cleaning continues at the club to include clearing of roofs and gutters.

Solar panel

The solar panel on the western roof needs to be cleaned and serviced off site which will occur in the quieter weeks.

Purchases

Beach drills

2 beach drills have been purchased to assist the beach attendants who currently use plastic piping to create holes for sun umbrellas.

Ashtrays

Beach ashtrays have been delivered to reduce the number of cigarette buts placed in the sand and garden beds / pots.

Sunbeds

The 30 sunbeds which were ordered last year have been delivered to the club and are now in circulation. The 30 new umbrellas, side tables and cushions are already in circulation. We have also ordered a further 50 sun beds this year and 50 additional cushions will also be available for the winter.

Dining chairs

The 18 dining chairs ordered via Kit Kemp have been delivered. The new chairs have been installed on the club house terrace and the old terrace chairs have been installed around the round coral tables. We have also ordered waterproof protective covers to go over the coral tables and chairs. We will also be spray painting the old terrace chairs so they will look as good as new.

Additional beach furniture

We have added tables to the 8 chairs which were previously used as temporary chairs around the coral tables so we now have additional beach furniture on the sand. Umbrellas are available as required.

Improvements to the bar

As well as a new fridge we have installed a glasses cage behind the bar to keep glasses better stored and off the limited work space. The blue and green backdrop to the bar and in the clubhouse have also been repainted.

Quotes and improvements to come

The following quotes are being sought:

New beach cleaning machine – this will be a new version of what we have which will be effective in cleaning and sweeping the beach.

New or used swim up raft – options are being looked at in Miami or built in Barbados.

Reconfigured / upgraded beach showers and foot baths – these works will include improved showers, aesthetics and drainage.

Reconfigured / upgraded member and disabled bathrooms – works may also increase the size of the bathrooms subject to costs.

Generator – 3 companies have been approached to quote on installing generators which will power the entire club in the event of a power cut so the bar / kitchen and internet can remain operational.

AGM / EGM hybrid meeting technology / equipment – a TV monitor with zoom capability is to be made available at the club for any group member or shareholder meetings.

West Coast Limited

Victor Victor Ltd. install and service the In2Care Mosquito Traps. They strategically place the traps in dark, wind free areas that naturally attract egg laying mosquitoes which starts RHE control process. Estate matters

Roaming security

The roaming security guard has been in place from several weeks prior to the AGMs and has been effective in moving along taxis who are performing monkey / villa tours for cruise ship passengers. The roaming security guard’s vehicle is also branded with Estate Security Patrol signage. Please note that going forward the roaming security guard will only be on duty when a cruise ship is docked at Bridgetown.

Bollards

As per the resolution passed at the WCL AGM, yellow and green concrete filled metal bollards have been installed at the intersection of Salters Road and Cemetery Lane. These have been installed to prevent buses, ZR vans, general traffic, heavy vehicles, island 4 x 4 tours, mountain bike tours from using Salters Road as a rat run / thoroughfare. This initiative has also been effective in preventing taxis from entering the estate to perform monkey / villa tours.

Temporary road closure

As per the resolution passed at the WCL AGM, a chain has be fixed at one end of the metal poles at the intersection of Mahogany Road and Bennetts Road which will be used to temporarily close access from Bennetts Road onto the estate which will further assist with preventing Mahogany Road from also being used as a rat run / thoroughfare or a taxi tour location.

Road name signs

All road name signs currently displaying Cemetery Road will be changed to Cemetery Lane. The broken sign at the intersection of Yard Road and Mahogany Road has also been addressed.

Road damage and pothole repairs

We are currently consulting with contractors to provide a quote to address the following:

  • Repairing potholes – close to 20 potholes will be repaired over coming weeks
  • Repairing road damage – as well as the potholes road damage will also be addressed
  • Repairing curbs – broken curbs will also be mended
  • Addressing tree root damage to estate roads – these works will also form part of the project
  • Addressing existing estate speed bumps that need repairing and painting
  • Installation of traffic calming measures on Molyneux Road (completed)
  • Clearing drains / well on Vault Field Road – these works will prevent flooding during the rainy season
Road clearing

Trevor and his team will continue to clear the roads of leaves, debris garbage, grass and weeds

Garbage collection

We will continue the private garbage collection service in cooperation with the government service so that there are 2 collections per week.

Plot clearing

Empty plots of Salters and Harbin Alleyne Roads wil continue tone cleared.
