Welcome to the annual newsletter from the Sandy Lane POA

Dear Members,

It has been an interesting year with continued COVID-19 lockdowns, curfews and ever changing protocols, a volcanic ash fall in April and hurricane and freak lightning storms in the Summer.

Despite the challenges we have managed to keep the Members safe, as well as maintain and upgrade the club whilst keeping the association correctly funded and solvent. I would like to thank those Members who paid their fees promptly at the beginning of the financial year.

We also expect to welcome more new Members during the year as The Estate has experienced record agreed sales over the last 12 to 18 months.

As well as contributing BDS$150,000 to the Government’s Vaccine Fund, we have managed to address all maintenance issues at the club. To follow is a visual summary of what we have achieved over the last year.

The food and beverage service and offering are improving all the time and along with a new chef and exciting new menu we look forward to building upon the happy and vibrant atmosphere at the club which we have experienced this high season.

Fortunately whilst bars were closed our restaurant license enabled us to remain operational during the Summer, and looking forward, as COVID-19 restrictions lessen, we hope to hold more regular Member functions at the club. We are also offering Members a 15% discount on all food and drink orders.

The board has some new and exciting plans to enhance the club and we look forward to being part of the positive future of SLPOA Inc.

COVID-19 / Security and Registrations

COVID-19 Protocols

The dedicated reception / concierge staff continue to check-in all arrivals, record temperatures and ensure hands are sanitised as well as enforce COVID-19 protocols when Members and guests are at the club.

Additionally, a new protocol has been introduced where all overseas arrivals must produce a vaccine certificate before entering the club.

Registrations

The registration system continues to work well where all arrivals on the estate and at the club must pre-register at concierge@sandylanepoa.com.

The pre-registration system also assists with security as anyone not pre-registered will not be permitted access to the club until qualified by concierge at reception.

Security & Tracking

The new security gate and systems (VPASS and OpenPath) continue to work well where all Members have two gate fobs per membership. Where possible all non-members or rental customers are provided with digital OpenPath passes, however there is a gate, reception and “who is on estate” report produced and updated daily to help manage the access process.

The reception report and registration system also enable the staff to track all short-term rentals which will assist with billing as they can track when the short-term rental fees become due.

Maintenance

Cabana Doors and Exteriors

All cabana doors and exteriors have been repaired and painted.

Railings from the car park and by the disabled loos have been repaired or replaced and painted.

During the year we will address any old cabana doors which need to be replaced or repaired.

Cabana Roofs

All the old / original cabana roofs have been replaced. The roofs have also been extended slightly along with wider drip deflectors to help prevent rain water from running down the sides of the cabanas. Following the roof works all cabana exteriors have been thoroughly cleaned.

During cabana works we noticed that many cabana interiors require sweeping, so the cleaning team have swept out all cabanas we hold keys for. Cabana exteriors are also cleaned regularly throughout the year.

Entrance/Clubhouse

The entire entrance walkway area and south / north walk ways have been repainted and resurfaced.

Ceiling fans and louvres in the clubhouse have also been cleaned and painted.

We are proposing that the bright blue and green sections behind the bar and in the lounge are repainted soon.

Bathrooms

Bathrooms have been equipped with light sensors and have been painted throughout including doors and ceilings.

Rusty light fittings and hand dryers have been restored and locks have also been changed.

New alcohol hand sanitizers have also been installed outside all the bathrooms to replace the old sanitizing soap dispensers.

Clubhouse Cushions

New fabric has been ordered so all clubhouse chair and sofa cushions can be recovered.

The existing ones have been cleaned in the interim.

Sun-Beds, Cushions & Umbrellas

All broken sun-beds have been cleaned and repaired to be put back into circulation. We have also repaired 20 cushions and ordered an additional 30 cushions to be delivered this month. All broken sun umbrellas have also been cleaned and repaired and are now back in use.

Termite treatment

The entire property has been treated for subterranean termites and we have a 5-year guarantee provided by Rentokil.

Tree Trimming/Clean Up

The trees were trimmed again in areas and the coconuts were removed. The 2 tree stumps remaining after the hurricane clean up and the dangerous Cordia tree have been removed from the beach.

General Repairs, Equipment Servicing & Snagging

The entire property has been power washed and snagged throughout. Street lamps at the entrance have also been resprayed and reconditioned.

The beach side bins will be repaired or the entire enclosures will be replaced if necessary.

Improvements

Members & Shareholders Secure Document Storage

We have converted the club’s office area into a secure storage area for all current property information and a separate meeting area. Documents are available to Members / Shareholders and the office can be booked out in advance for Member meetings by request.

Office facilities / services such as emailing, scanning, printing and photocopying are now available for all Members which the concierge staff will be happy to assist with.

Members Secure Meeting Room

A screen has also been mounted on the wall for zoom calls and there is also a laptop, camera and mic.

The mahogany meeting table includes 6 chairs and extenders.

Glass tops have also been installed on top of the cabinets.

Website

The website www.sandylaneestatebeachclub.com has been updated and improved and is available to Members, agents and renters.

Amongst other things the site includes a daily weather report, downloadable registration form, details on the latest travel and COVID-19 protocols, menus and details on any events.

Improved Internet

The internet signal has been optimized in the club house and on the beach so all Members and guests are able to get online with no issues at any location.

Car-Park Walls

A privacy trellising was added to the top of the back car park wall which has smartened up the area.

All car park walls were also cleaned and repainted.

Car-Park Resurfacing

The car park has been resurfaced with asphalt and includes new parking lines including assigned disabled and golf buggy spots.

New Garbage Storage Area

To optimize the parking space further the garbage and skip storage area was moved to a new less intrusive location.

Gates have also been installed to section off this area and to hide the bins and skip accordingly.

Footpaths

Stepping stone footpaths have been added to the southern and northern sections of the grounds to help protect the grass and also allow access from the car park to the cabanas on the car-park side of the property.

The footpath on the far southern boarder has been tidied up as well as the stepping stones to the northern beach shower.

Foot Baths and Showers

All foot baths and showers have been painted and repaired including new deck sections on the beach side foot baths and new shower heads on the beach front showers.

Trenches

Trenches around and between the cabanas have been filled with small white stones to prevent the collection of leaves etc. and rain from splashing mud etc. up onto the cabana elevations.

Irrigation System

A new / repaired irrigation system has been installed so we can make sure all gardens and grass areas are watered sufficiently especially during the dry months of the year.

Planting

There has been some planting to help fill some of the blank areas – this will progress throughout the year.

Raft

The newly repaired raft was thoroughly cleaned and painted following the ash fall and is cleaned regularly along with the buoys.

A New Flag!

A new flag was installed and the existing flag pole was also painted.

Water Storage Area and Supply

The filter has been changed to the incoming water supply which is stored in the two water storage tanks, and any water for the bar, kitchen, bathrooms and showers passes an additional water filter.

The water storage area was thoroughly cleaned and a new housing was erected around the 2 water storage tanks with a roof. The area also provides for additional secure storage area for gardening and beach equipment.

Clubhouse Shutters and Security Gates

In the absence of a generator the clubhouse shutters have been placed on their own independent power supply so they can still be operated in the event of a power cut. The gates are also operational in the event of a power cut. Servers also have their own batteries.

Staff and Clubhouse Updates

Vaccinated Staff

I am delighted to confirm that all staff have been vaccinated and also had rapid tests prior to any approved events. Furthermore, our COVID-19 protocols have ensured that we have not experienced any community spread from the clubhouse and all unauthorized access has been dealt with swiftly and professionally.

Administrative Manager

Winnie works off site with the GM on all SLPOA and WCL administration, corporate governance and accounts matters along with the board, internal / external accountants, payroll / admin staff and the corporate secretary. I am happy to say that the very thorough process of compiling all the relevant information and paperwork for our new auditors has been completed, which will be circulated prior to the AGM.

Club House Management

Cherry Ann is doing well at front of house and club manager and is working hand in hand with the GM. Cherry Ann’s experience working at fine dining restaurants such as Cin Cin an 13/59 has helped improve the club experience for everyone.

Reception, Concierge and Covid Protocols

Nadia and Andreina continue to run reception and have been immensely helpful since COVID-19 hit just 10 months following our appointment and have helped ensure that Members remain safe, as the concierge team receive and manage all customer registrations and check in all arrivals.

Housekeeping

Sophia, Jocilla and Delicia have done an amazing job keeping the clubhouse, bathrooms, showers, store rooms and cabana exteriors clean, sanitized and tidy. Sophia has been promoted to head of housekeeping and also assists with cleaning materials stock control and purchases.

Bar Operations

Tyrone, Sherry and Petegay continue to please with their super tasty cocktails and helpful manner. Please see the bar menu here or on the website sandylaneestatebeachclub.com. I would like to thank them for all their hard work especially in December when we were very busy.

Beach Operations

As a further support to the beach attendants and also to assist Nash and Ryan during the high season we have also recruited Dwaine Payne and John Small. Nash has been promoted to Head of Beach Operations and has also been awarded with a pay rise. The Beach Team have done an amazing job this year especially over the Christmas and New year period.

Food Offering

We have a new chef Julius Layne who has introduced a new and exciting all day menu which can be viewed here or on Sandylaneestatebeachclub.com. When the beach is very busy the chef now has an assistant to help to reduce wait times

Kids Entertainment

Charice was seen over the school holiday weeks running the ever popular kids club giving parents a break over lunch to enjoy a wrap and a cold glass of wine!

Events

As COVID-19 restrictions lessen we hope to host more events and BBQs. On Christmas morning Santa Claus and his Elf visited the children at the clubhouse and handed out gifts and goodies.

Over the festive period we were given permission from the Covid Monitoring Unit to hold a number of events including the annual Sand Castle Competition, which was won by our previous Chairman Mr. Charles Gagnon. Other approved events included Christmas Day lunch, News Year’s Eve, Kids Club and beach BBQs.

Other News

Survey

The entire property has been resurveyed in order to establish the new high-water mark which was done to help determine possibilities regarding an extension of the clubhouse terrace and installation of gazebos.

Purchases

As required additional items will be purchased for the club in the coming year including new gardening and beach equipment and new beach chairs. A generator or solar / battery solution will also be considered so the club can offer internet and other facilities to the members in the event of a power cut.

Estate Matters With West Coast Limited

Mosquito Fogging

As approved by the Members, mosquito fogging recommenced on the estate and at the club in June 2021. Furthermore, Mosquito Kong have included in the same fee a free gully check throughout the estate and they have also continued with their commitment to inspect any property for free.


Road Cleaning

The road cleaning / clearing has continued throughout the year including after the ash fall and both storms.

Private Garbage Collections

The private garbage collection has been reinstated to support the government service.


Lot Clearing

Empty plots have been cleared on Salters and Harbin Alleyne Roads and will continue to be maintained.

Road Closure

In order to maintain our private road status, the annual road closure took place 5th December including Molyneux Road with minimal disruption and complaints.

Improvements

There have been discussions regarding road repairs / resurfacing, signs, security and entrance pillars which would be subject to approval at the AGM.


Consultants

Consultants to the Road and Estate Committee and the Architectural Committee have been appointed to help with advice and recommendations.
