Welcome to the December newsletter from the Sandy Lane POA

Dear SLPOA Inc. Members,

Seasons greeting Members and Owners. I’m delighted to share with you the last newsletter of 2022. Whilst the year has not been without its challenges I’m thankful that we didn’t have to deal with an ash fall, any major storms and that vaccination certificates and masks are no longer a requirement at the club. I’m very proud of the team at the beach club with team leaders Nash (Beach), Tyrone (Bar), Sophia (Cleaning and stock) and Michelle (Kitchen) as well as the concierge team headed up by Andriena and Tanneil. I would also like to mention Annell who has provided invaluable support regarding accounting and administrative matters. I would also like to thank the SLPOA Inc. and West Coast Limited boards for their hard work and selfless dedication to help ensure that both companies run smoothly and efficiently and that the correct decisions are made throughout the year. Whilst the management of SLPOA Inc. and West Coast Limited covering all aspects of the estate and beach club is not always easy, generally speaking 2022 has been a rewarding year with many positive changes. As you may have realized there has been many sales on the estate over the last few years and we would like to welcome all new members and their friends and family to the Sandy Lane Estate and Beach Club this winter season.

SLPOA Inc.

Audit

The audit has commenced under Roger Sparrock CPA, CGA, FCA, Managing Director of RS Financial Services Inc. and I’m confident that the audit for SLPOA Inc. will be completed well in advance of the February 2023 AGM.

SLPOA Inc. AGM – Pre Notice

The SLPOA Inc. AGM will take place at 9.30am on Saturday 11th of February and will be held exclusively via Zoom. Notices will be sent out at least 28 days prior to the AGM and any resolutions or nominations for board directors are to be submitted to Chancery Chambers 14 days prior to the AGM. Proxies are to be submitted to the General Manager by 9.30am, 2 days prior to the AGM.

Covid-19 Protocols

On Thursday Sept 22nd, the Government of Barbados announced its changes to the travel entry protocols.

Effective midnight, Thursday September 22, 2022, Barbados will discontinue all COVID-19 related travel protocols. Therefore, there will be no testing requirements for entering Barbados whether you are vaccinated or unvaccinated.

In addition, the wearing of masks generally will now be optional

Improvements to the club

In these uncertain times I’m delighted that we have still been able to make some improvements to the club and that the following items have been or will soon be installed which should enhance everyone’s experience on the beach and at the club.

Awning

The awning on the western elevation of the club house terrace has already been installed and is manufactured in aluminum and the highest marine grade Sunbrella material. The main aim of the awning is to reduce the sun and heat on the terrace during the hottest part of the day. The awning will be retracted each evening and will only be put out again as the sun moves to the west in the afternoon. The mechanics are operated via an electrical remote and in the event of a power cut there is also a manual override. Please note that as the sun sets shift throughout the year, towards the south in the winter and to the center / north in the summer, the shade provided by the awning will vary from month to month.

Dining platforms, tables, chairs and umbrellas

Both north and south brick dining platforms are complete and the coral table for these areas has been approved in a classic round design and we are also awaiting delivery of dining chairs and two large Tucci umbrellas before completing these areas which will replace the large 9ft hexagonal benches which were falling into disrepair. Unfortunately, due to the knock on effect of Covid, December delivery and installation of the above items could not be guaranteed.

Maintenance

In order to keep the club looking as clean and presentable as possible regular cleaning and maintenance is required.

Power washing cabana roof

As you know last year we replaced the majority of the cabana roofs so this year we only had to power wash the clubhouse roof which is relatively new and remains in good order.

General power washing

Power washing of the pathways and concrete areas is constantly required, especially when there has been a lot of rain as we experienced this year.

Gutter clearing

Rain and wind and the endless falling of leaves from the mahogany and manchineel trees means that gutters need constant cleaning and clearing to ensure they work correctly and there is no standing water which can create breeding grounds for mosquitoes.

Garden cleaning

Again falling leaves, mahogany pods, manchineel apples, twigs, branches and palm throngs are a constant occurrence at the club and flower beds and common areas are swept and cleared every day.

Painting

As with power washing there is always painting required on posts, walkways and cabana doors so we keep on top of these areas so we can maintain the wonderful painting job completed last year.

Cleaning and organizing staff and storage areas

We have several storage areas at the club – bar, general, document archive and garden / maintenance and the staff are instructed that these areas are to be regularly cleaned and organized. The staff also have their own areas too including a changing room, general staff and beach attendant rooms which also need to be kept as clean and organized as possible.

Car park area and wall

As you may recall last year we repaired and painted the car park wall and installed a white trellis privacy screen above so we have been careful to keep this area looking as good as possible which has since been power washed and repainted.

Termite inspection

The termite inspection of any cabanas we hold keys for went well with no evidence of termite infestation. I would urge those owners of cabanas we don’t hold keys for to have their property management/maintenance team inspect their cabana(s) and or make sure that the concierge team at the club has a copy of their cabana key(s) for future inspections.

Mosquito prevention

Whilst we perform weekly fogging at the club on Thursday evenings we also continue to benefit from a weekly inspection at the club to help address any breeding sites. Fogging and inspections are carried out by our contractor Mosquito Kong.

Coconut Trees

So we are all set and safe for the busy weeks ahead we have taken down all the coconuts from the beach side coconut trees.

Purchases

Sun-loungers, umbrellas, sun-lounger cushions, side tables

As well as the above improvements we are delighted to announce that we have ordered and purchased 30 new sun-loungers, umbrellas, sun-lounger cushions and side tables. Whilst some items have already been delivered to the club we are hopeful that the balance will arrive just before Christmas or early in the new year. I’m afraid that due to the knock on effect of Covid deliveries in December could not be guaranteed.

Staff

Hopefully by now you have all got to know the team at the club so I thought I would just highlight a few changes and additions to the team.

New barman

I’m sad to say that Sherry Ann has left the bar team to work in a private villa however she has been replaced by Junior who has years of experience working behind a busy bar.

New chef’s assistants

Michelle has performed very well over the summer as head chef and has worked hard to organize the kitchen, streamline operations and also introduce new menu items. Michelle is supported by 3 assistants, Tanisha, Dwayne and Noah, to make sure food orders are executed and served as quickly as possible over the busy season.

Maintenance man

Some of you may know John who has in the past assisted Nash on the beach however as you may appreciate due to the age of the buildings and the amount of cleaning and maintenance required at the club there is a need for a full time maintenance man. I’m delighted to confirm that John now performs this role and is given a regular list of maintenance tasks to perform each week.

Events and happenings

The busy season is upon us and the clubhouse and beach will be as busy as ever and so here is a little run down on what you can expect.

Bar and kitchen opening times over the busy weeks

The bar will be open between 7am for early coffees to 6.30pm each day and the kitchen is open offering an all day menu from 11am to 6pm every day.

Christmas Day, Boxing Day and New Years Day

On the above days the kitchen and bar will be open all day long and as well as the popular classic menu items there will be a few new items and specials put on so please come on down and soak up some sun and festive spirit. Please feel free to bring any friends or guests however all we ask is that any non members are pre registered at the concierge before arriving so we have an idea of what numbers to expect. Whilst short term renters are not permitted to bring any guests they are welcome to join in on the festivities. Long term renters are also welcome however any house or non house guests must be accompanied by the long term tenants and pre registered at reception before arriving. Please note that we expect a visit from Santa and his helper on Christmas morning at around 9.00am so please be sure to drop a clearly labeled gift for your little ones at the concierge beforehand.

New Years Menu

Boxing Day Members Sand Castle Competition

We will be holding the annual Sand Castle Competition on Boxing Day from 9.00am this year so come on down and take part in this exciting beach front extravaganza where prizes are to be won for the top 3 most stunning sand creations. The Gagnon and Mulligan families are the ones to beat!

New Years Eve

We will be hosting New Years Eve at the club which will include an open pay on consumption bar and BBQ. There will be no entry fee however all we ask is that all members and their guests are pre registered at the concierge prior to arrival so we know what numbers to expect. Whilst they are unable to bring any guests short term renters are welcome. Long term renters can bring any house guests and up to 5 non-house guests once they are pre registered at the concierge. I’m sure you will agree and understand that for security reasons we will be unable to admit any non-members who are not pre pre-registered as the concierge. Please note that members and long term tenants must accompany any house or non house guests.

Kids club

There will be a temporary kids club over the busiest weeks which will be a craft and activity based experience for kids from 3 years old and up. The cost of the kids club will be BDD$20 per child and entry will be subject to a signed waiver which can be collected at the concierge. Please check with the concierge for further details and daily activities.

Christmas tree and decorations

I’m sure you have all seen the lovely Christmas tree which was decorated by the clubhouse team – further decorations will be added and please look out for New Years Eve decorations too.

Cabana Sales

As there has been many new sales on the estate we thought we would highlight that we still have cabana 86 for sale as bds$90,000. The cabana is ideally located adjacent to the ramp access from the car park and whilst regularly cleaned and maintained it’s also one of the newest cabanas at the club.

West Coast Limited

AGM – Pre Notice

The West Coast Limited AGM will take place at 3.30pm on Friday 10th of February and will be held exclusively via Zoom. Official notice will be sent out at least 21 days prior to the AGM and any nominations for directors must be submitted to Chancery Chambers 21 days prior to the AGM and any resolutions must be submitted to Chancery Chambers 14 days prior to the AGM. Proxies must be submitted to the General Manager by 9.30am, 2 days prior to the AGM.

Audit

Road closure

In order to preserve the private road status of the Sandy Lane Estate road there must be an annual road closure, which occurred on Sunday December 4th between the hours of 6am and 6pm. Including Molyneux Road all estate roads were closed, some manned and some roped and unmanned, and whilst the general public, police and the Ministry of Transport and Works were advised beforehand, I’m delighted to confirm that the day passed without any issues.

Other matters

Road humps and road junction lines

This job is now compete however the board are of the opinion that some road humps and junctions need to be painted more regularly especially the busier roads such as Salter Road and Mahogany Road

Pot holes and road repairs

The commencement of these works were delayed due to the constant rain however you should now start seeing the repairs to potholes and road damage throughout the estate.

New road name signs

The new road name estate signs are under production and should all be installed prior to Christmas.

Respecting estate quiet times and parking on estate roads

Due to the number of complaints we receive from members and shareholders living on the estate, I would like to again raise the issue of noisy works occurring during quiet times on the estate. Noisy works such as construction, lawn mowing, hedge trimming, leaf blowing and weed wacking can not occur before 7.30am or after 5.00pm Monday to Friday and after 12noon on Saturdays. There is to be no noise whatsoever on Sundays. Also parking is not permitted on estate roads at any time even if a property is under construction, this includes all guest and property staff cars and any vehicles belonging to suppliers or contractors. I attach a copy of the estate’s code of conduct for your kind attention.

Code of conduct

There are 177 Lots, which comprise the Sandy Lane Estate. In the Title Deeds, each Lot covenants both with West Coast Limited, as the original selling company, and with each and every other Lot, that the owners shall and may at all times hereafter peaceably and quietly possess and enjoy the Lot.
